Sources for personal data

For the personal data, easyWeb standard acts only as a consumer. The master data is merged from various sources in the IAM into one database, to which each easyWeb standard instance has access. Consequently, you have to request/make changes to the personal data from one of the source systems or in the GF-GUI, as the case may be.

You can use the two services Person search (public) and Person info (AAI login, extended information) to check which data is available for a person. These two services obtain the person data from the same source as easyWeb standard. Via Person Info you can also check where the data for each display block comes from (e.g. from SLCM, HCM, etc.) and whether the data has been modified manually in the GF-GUI. The data of ยง3 persons are maintained exclusively via the GF-GUI.

Information flow

Basically, easyWeb Standard obtains data from two main sources:

  • Project and publication information comes from the ForschDB and is made available via eDoc.
  • Person-related information is obtained from the IAM GF-GUI. This information can also be found in the Person Search, or the Person Info tool.

However, much of the information in the IAM GF-GUI is in turn collected in other sources and merely processed, linked and forwarded in the GF-GUI. Examples include the SAP SLCM student information system, the SAP HCM HR employee information system, the "who sits where" system, and telephony.

The following two diagrams provide an overview of the various data sources.

Cache

For all person lists and profile pages of an easyWeb standard instance, the output is cached for 24 hours by default. This means that changes in the GF-GUI are not necessarily visible immediately, but only after a corresponding amount of time.

In the person search and person info, however, the changes in the GF-GUI are normally visible after a few minutes.
